- Designate a clear decision‑maker to call the meeting, set objectives and determine participants.
- Ensure every meeting has a clear purpose and structure; call a meeting only if it is necessary and has a defined goal.
- Share the agenda and preparatory materials at least 24 hours in advance.
- Invite only the necessary participants and aim for no more than eight people.
